Enrolling Your Student at Kolbe Academy

This guide outlines the steps to completing the enrollment process at Kolbe Academy. Each step refers to a specific status your student's enrollment will be placed in until the enrollment process is complete. Moving to the next step is dependent upon the completion of the current step. You can always see your student's status in your Kolbe Portal account: 

 

 

Step One: Enroll

Complete an enrollment application form for each student. Refer to our Enrollment Process Guide when enrolling your student(s) in the Kolbe Portal

What's Next?

Once your student's enrollment application form has been submitted, the student will move to "Admissions Review".

 

Step Two: Admissions Review

Admissions reviews the student's enrollment application form, verifies your Blackbaud account, and assigns the student to a Family Advisor. If the need for financial aid was indicated when completing the student's enrollment form, you will receive an email with the financial aid application. Need this email resent? What's Next? 

  • Did you indicate the need for financial aid? - You will move onto Financial Aid Application Pending
  • New to Kolbe online courses? - You will move onto Placement Testing
  • Enrolled in our Special Education Program? - You will move onto Special Ed Review
  • All other students will move onto Course Registration

 

Step Three: Financial Aid Application Pending

If you indicated the need for financial aid in the enrollment form, your student will move to this step. 

 

What Do I Do?

  • Complete the financial aid application and follow the financial aid process here

 

What's Next? 

  • New to Kolbe online courses? - You will move onto Placement Testing
  • Enrolled in our Special Education Program? - You will move onto Special Ed Review
  • All other students will move onto Course Registration

 

Step Four: Placement Testing

Students who are new to online courses will be required to complete placement testing before selecting courses.  When students are moved to placement testing status, the parent will receive an email with instructions to complete this testing.  Students in grades K-8 will complete live placement testing with a Kolbe teacher.  Students in grades 9-12 complete testing at home proctored by the parent and upload completed assessments for grading. Students new to Kolbe's live online courses are required to complete placement testing before registering for courses. Placement testing is also available to add on for returning students or students not taking live online courses.  Contact your family advisor if you would like to add on placement testing for your student.

 

What Do I Do?

Complete and submit the student's placement test per the instructions found in the placement testing email. Need this email resent? Contact Admissions at [email protected]

 

What's Next? 

Once the placement test is graded, the results will be emailed to you and your family advisor.

  • If your student is enrolled in our Special Education program, they will move to Step Four: Special Education Review.
  • If your student is not enrolled in our Special Education program, they will move to Step Five: Course Registration.

 

Step Five: Special Education Review

If you enrolled your student in the Special Education program, you will receive an email to complete a questionnaire and schedule a consult call with a member of the Special Education team. During this meeting, you will discuss your student’s educational history, review documentation, set goals and determine any necessary supports for your child.

Complete and submit the parent questionnaire and schedule your consultation call per the instructions found in the special education enrollment email. Need this email resent? Contact Admissions at [email protected].

 

What's Next?

Once the parent questionnaire is submitted, the student will move to Step Five: Course Registration.

 

Step Six: Course Registration

Once all required prior steps have been completed, and course registration has opened for the new school year (by mid-March), you will be able to select courses on the student's course registration form. You will receive an email notifying you when this form is available in your Kolbe Portal account. All course seats are held for a student once they are selected on the course registration form.

What Do I Do?

Complete and submit a course registration form for each student you are enrolling. If you need to make changes to your course selections after you have submitted the form, please email your Family Advisor. If you are unable to submit the course registration form, contact Admissions at [email protected].

 

What's Next? 

Once the course registration form is submitted, the student will move onto Step Seven: Advisor Review.

 

Step Seven: Advisor Review

Your Family Advisor will be notified your student's course registration is ready to be reviewed as soon as you submit their form. If your Family Advisor has suggestions on course changes, they will contact you before approving the student's course registration. Please note, course registrations are typically reviewed within 1-2 business days of receipt during non-busy seasons and within 3-5 business days during March-April and August. Course registrations are reviewed in the order received. 

 

What Do I Do?

Your family advisor may contact you with questions or recommendations on your course selections.  If you receive an email or phone call from your family advisor, please respond as quickly as possible in order to ensure your course registration is approved in a timely manner.

 

What's Next?

Once the advisor approves the student's course registration, the student will move onto Step Eight: Final Review.

 

Step Eight: Final Review

Admissions updates the student's tuition based upon the approved course registration form and finalizes the student's enrollment. Fees will be added to the family's payment account.

 

What Do I Do?

Admissions may reach out about changes or adjustments in your payment account.  Please respond as quickly as possible in order to ensure your enrollment is finalized in a timely manner.

 

What's Next? 

Once this step is complete, the student will move onto Step Nine: Active Status.

 

Step Nine: Active

Your student is now active and fully enrolled! 

 

What's next?

  • Bookstore Order and Credit: If your student is enrolled in the Full-Time Standard or Full-Time Online options, you will receive a customized bookstore draft order and bookstore credit once the student's course registration is approved and starting after April 1st.
  • Date of Course Delivery: Traditional Homeschool and Digital Homeschool courses will be available in your Kolbe Portal account once the student is in Active Status. Please review the school calendar for the date Asynchronous and Online courses become available.
  • Tech Account Logins: Tech Support will send login information for Kolbe platforms including Schoology, Adobe Connect and Microsoft 365 once student's course registration is approved and beginning August 1st for students registered in Online and Asynchronous courses.
  • Technology Orientation (new students only): Technology Orientation introduces students to basic navigation and functionality in Kolbe technology platforms.  This is available beginning in early July.
  • Student Orientation (new and returning students): Student Orientation reviews school policies along with introductory information about the students chosen course formats.
