Part One: Accessing the Kolbe Portal

Step 1: Navigate to the Kolbe Portal: portal.kolbe.org.

 

Option 1: Access for Existing Families

Step 2: Sign in with your user credentials.

  1. Input Username and Password in the respective field.
  2. Click the ‘LOG IN’ button.

Note: if this is the first time accessing your account, select the ‘Don’t remember your password?’ link to reset your password:

 

   

  1.   On the Welcome Page, both active and inactive students will appear:

 

 

Option 2: Access for New Families

Step 3: Sign Up for a Kolbe Portal account.

  1. Input Username and Password in the respective fields.
  2. Input first name, last name, and phone number.

 

 

  1. Select a title (Mr., Ms., Mrs., Dr., Miss):

 

 

4. Click ‘Sign Up’ button:

 

 

 

Part Two: Create a New Family

Step 4: Create a New Family

  1. On the ‘Welcome’ page, click the ‘Create New Family’ button:

 

 

Note: Click the help icon (i) to reveal a slide out to learn more about ‘Creating a New’ or ‘Joining an Existing’ family:

 

 

Step 5: Input Family Information

  1. Select from ‘Relationship to Family’ dropdown (ex. Mother, Father, Guardian, etc.).
  2. Input street address information in the ‘Address Line 1 and Line 2’.

 

 

  1. Input ‘City’.
  2. Input ‘State’.
  3. Input ‘Zip Code’.
  4. Select from ‘Country’ dropdown.

 

  1. Input a response in the ‘Why Catholic Education…’ text field.
  2. Select from ‘How did you hear about…’ dropdown.
  3. Select one or more ‘Admissions Events’ options.

 

 

  1. Click the ‘Add Family’ button:

 

 

Part Three: Enroll Students

Step 6: Select Student(s) to Enroll

  1. Existing families will list ‘Your Students’ that you may enroll.
  2. Select ‘Enroll <NAME> now!, or…
  3. Select the buttons next to each student and click ‘Enroll Selected Students’ button:

Note: Many of the steps that follow may be omitted or already prepopulated due to the existing student record data.

 

Step 7: Input Student Information

  1. For new families, click the ‘Enroll Students’ button:

 

 

  1. Input ‘First Name’.
  2. Input ‘Middle Name’. 
  3. Input ‘Last Name’.

 

 

  1. Input ‘Suffix’ (Sr., Jr., III, IV, etc.). 
  2. Input ‘Preferred Name’.  

Note: Entering a ‘Preferred Name’ will preempt the First Name depicted on the Welcome Page 

  1. Select from ‘Gender’ dropdown (Male, Female). 
  2. Input ‘Date of Birth’ (mm-dd-yyyy format required).

 

 

  1. Select a ‘Religious Affiliation’ option. 
    1. Catholic: move on to next step. 
    2. Other: Reveals a free-text field to type in a response. 

 

Note: Select the Help (i) icon to reveal information about the ‘Religious Affiliation’ selection:

 

 

Step 8: Select enrollment options.

  1. Select from ‘Academic Term’ dropdown.
  2. Select from ‘Existing Grade Level’ dropdown. 
  3. Select from ‘Enrollment Program’ option. 

 

 

 

Note: Select the Help (i) icon to reveal information about the ‘’Enrollment Program’ selection (Enrollment Options page link):

 

 

  1. Select a ‘primary language’ option. An ‘Other’ answer will open a free text field to input a language not listed:

 

 

  1. Select a ‘Homeschool Co-op’ option. If ‘Yes’: 
    1. Select your co-op from the dropdown, or… 

 

 

 

       b. Select the ‘Other’ dropdown and type the name of the Co-op in the free text field:

 

 

  1. Select an ‘Active military duty’ option:

 

 

  1. Click on 'Yes' if your student will take any online courses (if they will only take homeschool, self-paced or self-paced plus courses, please select 'No').

 

Note: Selecting ‘Yes’ will open the next three questions related to online classes with Kolbe.

 

  1. Input ‘why Kolbe online’ in the text field:

    1. Succeeding in Online Courses "website" link

 

 

 

  1. Select a ‘Parental Involvement’ option:

 

Note: Select the Help (i) icon to reveal information about the ‘Parent Involvement’ selection:

 

 

  1. Select one or more ‘Basic Technology Skills’ options:

 

 

Note: Select the Help (i) icon to reveal information about the ‘Online Success’ selection:

 

  1. Select from ‘Current Education’ dropdown:

 

 

 

  1. Select a ‘Learning Disruption’ option. A ‘Yes’ answer will open a free text field to input a further explanation:

 

 

Note: Select the Help (i) icon to reveal information about the ‘Learning Disruptions’ selection: 

 

 

  1. Select an ‘Academic Probation’ option. A ‘Yes’ answer will open a free text field to input a further explanation:

 

 

  1. Select a ‘Medical Illness’ option. A ‘Yes’ answer will open a free text field to input a further explanation:

 

 

  1. Select a ‘Suspected Learning Needs’ option.  
  2. Select a ‘Special Education Support’ option. A ‘No’ answer will open a free text field to input a detailed description of needs. 

 

 

Note: Select the Help (i) icon to reveal information about the ‘Special Education Support’ selection: 

 

 

  1. When finished inputting the first student’s data… 

    1. Click the ‘Add Another Student’ to repeat the process for the next child, or… 

    2. Click the ‘Go to Payment’ link to check out.

 

 

Part Four: Checkout

Step 9: Review Order Summary

  1. Review each student and verify:
    1. Name
    2. Program
    3. Grade level
    4. Tuition or Deposit amount
    5. Associated fees
    6. Selected Discounts

 

 

  1. Review Sub-total for accuracy.
  2. Input ‘Discount Code’ if applicable and select ‘Apply Discount’. Repeat as necessary.

 

 

  1. If discount was entered, verify.
    1. Discount Code tag appears.
    2. Discount is taken from Subtotal.

 

 

Step 10: Select Payment Plan

  1. Select ‘Pay in Full’ or ‘Payment Plan’:

 

Note: ‘Payment Plan’ is the only option for ‘6-12 Full-Time Online’.

 

  1. Acknowledge ‘Terms and Conditions’:

 

 

Note: Customers may not submit unless both conditions are acknowledged:

 

 

Step 11: Enter Payment Details

  1. Input ‘Card Number’.
  2. Input ‘Cardholder Name’. 
  3. Input ‘Expiration Month and Year.
  4. Input ‘CVC’.
  5. Input ‘Zip Code’.

 

 

6. Click ‘Submit Enrollment Application’ button:

 

 

 

Step 12: Review Order Summary

  1. Thank You! page:

 

 

  1. Review the Completed Order:

 

 

  1. Review the Payment Details:
