Payment Policy 

A  tuition deposit for all enrollment types is due at the time of enrollment. This deposit is non-refundable 72 hours after enrollment has been completed.  Books are sold separately.* 

 

When calculating the annual fee, students are counted in the following order:

 

  1. Full-time Online 
  2. Full-time Standard
  3. Full-time Flex
  4. Part-time

 

For example, if enrolling four students, one 8th grader as Full-time Online, one 10th grader as Full-Time Standard and two students as Full-time Flex. The 8th grade student would be enrolled as the FIRST student and all others will be ADDITIONAL students.

 

Blackbaud Tuition Management

All remaining tuition will be paid through Blackbaud Tuition Management. Payment plans of  1, 2, 6, or 10 monthly payments may be chosen.  

 

FOR STUDENTS ENROLLED IN FULL-TIME ONLINE OR INDIVIDUAL ONLINE COURSES, if the monthly payment plan is chosen, the first payment is due the April prior to the start of the school year and runs through January of that same school year. If you sign up for the monthly payment plan after April, the remainder of your tuition will be distributed evenly among the remaining months of the plan. For example, if you enroll in classes on July 15 and choose the 10th of the month to start your payments, your first payment will be due August 10 and will be distributed into 6 equal monthly installments ending January 10. All payment plans must be completed by March 31st.   

 

Blackbaud processing fees are:

 

  • 1-2 payment: $22
  • More than 2 payments: $56

 

If you choose the convenience of a payment plan, you are responsible for the remainder of the enrollment fees as outlined in our refund policy. 

 

General Policies 

  • All enrollment fees must be paid in full before enrolling for the next school year. 
  • Kolbe Academy reserves the right to refuse or discontinue service at their discretion. 

 

Full-Time Standard and Flex Enrollment Policies 

  • Enrollments are accepted year-round.  Families choose when to start their school year. 
  • For enrollment purposes, a school year is a 12-month period.  
  • Re-enrollment is not automatic—families must fill out an enrollment form each year they wish to continue with Kolbe Academy. 
  • Tuition includes a maximum limit of 8 course plans per student in grades 9-12 and 12 course plans per student in Grades 1-8.  There is a limit of ONE course plan per subject. Additional fees apply over this amount.  
  • We encourage families to take full advantage of all assistance available to them during the course of their school year:  advisor advice, quarterly reporting, record keeping, etc.  
  • Families are not required to make full use of all the services available or curriculum materials provided.  However, families are obligated to complete payment plans of the annual fee regardless of the assistance a family has needed or requested.  

 

Full-Time Online Enrollment Policies 

  • After the last day to add/drop a course (see calendar), enrollments will be reviewed and accepted on an individual basis.
  • Re-enrollment is not automatic—families must fill out an enrollment form each year they wish to continue with Kolbe Academy. 
  • Second semester online enrollment is available to students who are converting from Full-Time Standard, Flex, Part-Time and NEW students ONLY (students not enrolled within the last 12 months). For Full-Time Standard or Flex conversions, tuition will be pro-rated.
  • Tuition includes: 

     

    • Any combination of 6 Online, Asynchronous courses, or Labs.
    • Homeroom course
    • Tech fee
    • Course plans for home study up to the maximum allowable course load outlined below
      • A maximum of 8 academic courses per student in grades 9-12 and 12 academic courses per student in Grades 1-8 may be chosen.
      • There is a limit of ONE course plan per subject and course plans are not available for courses in which the student is enrolled in the same online course.
  • If a student drops below 6 Online and/or Asyncrhonous courses, they can choose to remain a Full-Time Online student and no refund will be given OR they can transfer to another a Full-Time option and may qualify for a refund per our refund policy.

All Online Courses General Policies 

 

  • If your child’s status is changed to inactive, NO REFUND will be given. 
  • If your child is removed from a course for disciplinary action, no refund will be given. 
  • If your child is placed on academic probation, no refund will be given. 
  • Kolbe Academy does not guarantee teacher assignments in online courses. Should a staffing change need to occur after the start of the school year, we will communicate the change to parents as soon as possible. Staff changes are not considered a cause for a full refund and normal refund policies will apply.  
  • Kolbe Academy reserves the right to cancel a course or change a course schedule due to extenuating circumstances. If that should happen, you may receive a full refund for the course, including the non-refundable tuition deposit.  
  • Summer Courses: Kolbe Academy and/or the summer teacher may opt to cancel a course if there are less than 5 enrollments. If that should happen, you will receive a full refund for the course or a credit for another course, whichever you prefer. 
  • Changing a course will result in an administrative course change fee if the change occurs 72 hours after the enrollment is complete.
  • Kolbe Academy may use the recording of an online course for educational purposes.  The student’s written name and other personal information will be kept anonymous.

 

Student Support Services

Special Education Services

  • The special education consultation will incur a rebooking fee of $20 if the appointment is canceled with less than 24 hours notice and $40 for a "no call, no show."

 

Tutoring

  • Tutoring sessions are intended to be used as supplemental instruction and not as the primary method of instruction for a student.
  • For each 5-pack of tutoring sessions, students will be matched with a tutor appropriate for the needs of the student. 
  • Each 5-pack of tutoring sessions, students will be matched with a tutor appropriate for the needs of the student.
  • A tutor change may be requested after the first session only.
  • All tutoring sessions must be used within one year from the student's established school start date.
  • All 5 tutoring sessions in an individual package will be booked out during the first tutoring session.
  • If you purchase more than one package at a time, each 5 pack can be used with different tutors or the same tutor throughout the year.
  • If a student fails to show up for his or her tutoring session without giving 24 hours notice, that tutoring session will be forfeited.

 

Accountability

  • For each 9 week accountability package, students will be matched with an accountability mentor that works with the family's desired schedule.
  • Each 9 week accountability package must be used with the same accountability mentor.
  • The parent and student are expected to attend the first accountability session together.  The first session will be a 30-minute session.  The remaining sessions may be booked in two 15-min sessions per week or one 30 minute session per week.  
  • During the first session, the remaining sessions will be scheduled out for a continuous 9 weeks.
  • Should the need arise to reschedule your sessions, Kolbe does not guarantee the same accountability mentor. 
  • All accountability packages must be used within one year from the student's established school start date.
  • If a student fails to show up for his or her accountability session without giving 24 hours notice, that accountability session will be forfeited.

 

Bookstore Credit General Policies (Full-time Online & Full-time Standard)

  • The bookstore credit will be issued via email no sooner than 72 hours after enrolling.
  • It may be used to purchase any books from our store.
  • Bookstore credits are valid for as long as the student is enrolled in the Full-Time Online or Standard program or up to 1 year from issue, whichever comes first. 
  • If a student withdraws from the program, refunds will be handled as outlined in our refund policy.
  • If a student transfers from the qualifying program to Full-time Flex, books purchased with the bookstore credit may be kept or returned based on our book buyback policy. The refund (if any) will reflect the books kept.
  • Upon withdraw or transfer from the program, if a tuition refund has been issued and any funds remain from the original bookstore credit, those funds will become void.
  • Bookstore credit is not valid on past purchases, not transferable and is not redeemable for cash.
