Grade Reporting Using the Kolbe Parent Portal: Non-Academic Courses

Kolbe Academy is dedicated to providing the best customer experience possible for our families. As part of our continuous improvements, we have developed a feature in the Kolbe Parent Portal that allows parents to directly submit grades and sample work within the platform.

 

We are currently accepting grade submissions for:

  • Fine Arts (Art and/or Music)

  • Physical Education

  • Penmanship

Sample Work Required for Non-Academic Courses

  • K-12 Fine Arts (Art and/or Music) and Physical Education
    • Provide either:
      1. A completed (signed and dated) grade-level Grade Submission Form, with a description of the activity completed, including frequency and duration. 
      2. Or, student sample work may be submitted in lieu of the Grade Submission with the written description. One sample should be submitted per quarter or two samples per semester. 
  • K-8 Penmanship
    • Submit one sample of student work per quarter or two samples per semester.

Notes: 

  • For high school courses, students should complete approximately 60 hours of activity per each semester's grade reported.
  • To report a non-academic course with a custom course title, please include the custom title on the Grade Submission Form or clearly on the sample work, e.g., Course Title: Music. 
  • Please report grades once, either by our grade reporting process via email submission or in the Kolbe Parent Portal.

 

  1. Log in to your Kolbe Parent Portal account at portal.kolbe.org.

  2. Upon successful login, you will see a list of associated students.

  3. Locate the student you wish to report grades for and select the View <student name>'s Profile link in the bottom right of the student's tile.

 

  1. On the Student view, locate and select the Grades tab. 

 

  1. On the Grades Summary view, locate the Academic Term dropdown and select the reporting year.

 

Entering Grades and Uploading Sample Work

  1. Locate the registered courses you are reporting grades for.

  2. Select the down arrow on the far right of the course to reveal grade submission options: 

 

  1. For the term you are reporting a grade for (K-5 quarter or 6-12 semester), locate the Grade dropdown and select the student's earned grade:

 

  1. Select the Choose Files button to reveal the search window. Please review the samples required for non-academic courses to ensure the sample work uploaded meets the sample requirements.

 

  1. Locate the file(s) and click Open to attach. You will only be provided one attempt to upload samples, so please ensure to select all samples you are uploading for that subject's grading term.

Note: Holding ctrl and selecting multiple files will enable you to upload more than one file.

  1. Once the desired grade is entered and the sample file is uploaded, select the Submit Grade button to complete the submission.

Grade Submission Statuses

After successful upload and submission of the grade and sample work, the Status column will be where you check progress:

 

There are four primary statuses:

  1. Submitted: Grade and sample has been submitted and is pending review.

  2. In Progress: Grade reviewer is reviewing your submission.

  3. On Hold: More information is needed or there is an error with the submission. Check your email for a request for clarification or additional information. If none are present, please contact your Family Advisor.

  4. Complete: Grade reviewer has reviewed and approved the submission.

 

Reporting Issues

To report issues that occur, please send an email to [email protected] with a detailed explanation of the issue. Please include screenshots if possible. Once we review your issue, we will either reset your submission or attempt to correct the issue.


Examples of issues that might occur: 

  • You may experience an error that states "Grade Samples failed to upload":

  • You may have selected the wrong grade.

  • You may have attached the wrong sample.
