Reporting Grades: Non-Kolbe Physical Education and Fine Arts

This article provides a walkthrough of registering and reporting grades for physical education and fine arts, such as art and music, completed outside of Kolbe Academy.

 

Registering for Non-Kolbe Physical Education and Fine Arts

As grades can only be reported for courses a student is registered for and completes, it is important that the student's course registration is up to date. The parent has two ways to register their student in non-Kolbe courses: 1.) through the course registration form, or 2.) through the course change request form. 

 

Note: Registering in non-Kolbe courses is a benefit for students enrolled full-time.

 

1.) Course Registration Form: Add non-Kolbe courses when completing the student's course registration form. Select the appropriate K-8 or high school course options from the dropdown menu in the non-Kolbe section for physical education and fine arts. Descriptions should include the activity along with its frequency and duration, e.g., "Student takes piano classes two times a week for 60 minutes each class and practices six days a week for 20 minutes each session."

 

Here is an example of what fine arts looks like on the course registration form. If the student is completing music and art as two separate fine arts courses, select courses from both Fine Arts 1 and Fine Arts 2 dropdown menus. The parent must also include a course title:

2.) Course Change Request Form: If the student's course registration has already been submitted and approved, add on non-Kolbe courses through the Course Change Request Form
 

Option 1: Reporting Grades through Schoology

Depending on the format of academic courses the student is registered for, the parent has one of two options to report grades. The first option is through Schoology, outlined in this section. The second option is through submitting a grade portfolio through the grade reporting process, outlined in the next section.

 

If the student is registered in at least one Self-Paced, Self-Paced Plus, or Online Kolbe course, and a non-Kolbe physical education and/or fine arts course, the parent has the option of reporting grades for the non-Kolbe course(s) within Schoology. A physical education reporting course and/or a fine arts reporting course will populate in the student's Schoology account at the beginning of the school year.

 

Note: The parent must be logged into the student's Schoology account to report grades. Please see this article for logging into the student's Schoology account.

 

Approximately two weeks before the end of the quarter (for grades K-5) or semester (for grades 6-12), a verification 'quiz' will populate within the student's Schoology reporting course(s). This 'quiz' is simply how the parent verifies that the student fulfilled the course requirements. The quiz contains two questions. The first question asks the parent to verify that the course was completed. The second question requires the parent to provide a description of the activity, along with its frequency and duration. 

 

If the student is in high school, the parent will also verify that the hourly requirement of 60 hours per semester has been met. If the hourly requirement was not met, simply exit out of this quiz. Do not select 'No'. It is acceptable to report a grade for physical education or fine arts for a single semester. If there are any questions if the course(s) are needed to meet graduation requirements, please check in with your advisor.

 

The quiz is available for two weeks in the Schoology reporting course. If the parent reports a grade through Schoology but it is not showing up in the Parent Portal, please reach out to your advisor. Additionally, if the quiz closes before the parent reports a grade, the grade can be reported through submitting a grade portfolio, described in the next section.

 

Note: Please do not report the same course both in the Schoology reporting course and in the grade portfolio; errors will populate on the student's report card and/or transcript. 

 

Additional notes on fine arts:

  • If the parent prefers a custom course title like "Piano & Theory" or "Music Appreciation" versus "Fine Arts", a grade portfolio should be submitted. If a grade is submitted through the Schoology reporting course, the course will save as "Fine Arts" on the student's record.
  • Only the grade for one fine arts course can be reported in Schoology. If the student is taking more than one course, they should both be reported through the grade reporting process as outlined here.
    • An additional detail for parents of high school students: if the student is taking two fine art courses, like music and drawing, but has spent a combined amount of 60 hours/semester or ~4 hours/week on them, please report through Schoology. They will be combined as 1 fine arts course. If, however, the student spent 60 hours/semester on music and drawing apiece, they both should be reported through the grade reporting process as outlined here.

 

Option 2: Reporting Grades in a Grade Portfolio

Parents report grades for Homeschool, Self-Paced/Plus, and non-Kolbe courses through submitting a grade portfolio. The grade portfolio typically consists of a Grade Submission Form and Checklist and sample work. Non-Kolbe courses, such as fine arts, music and physical education, do not require the submission of sample work. Parents can choose to submit a completed Grade Submission Form and Checklist at the end of each quarter/semester or once at the end of the school year. The process of how to complete this form is as follows:

Each form consists of the "Grade Submission Form" (front page) and the "Grade Portfolio Submission Checklist" (back page). The images below are taken from the 9-12 Grade Submission Form and Checklist. While the forms differ slightly, the process of filling out the form is fairly similar.

 

On the left side of the front page, provide a brief description of the student's work in art, music and/or physical education. Parents of K-8 students may opt to submit picture samples in lieu of a written description of art, music, and physical education activities. Descriptions should cover the activity, frequency, and duration of the activity, e.g., "Student attends piano lessons two times a week for 60 minutes each lesson, and practices six times a week for 30 minutes each session." If the student is in high school, activity hours must add up to at least 60 hours per semester (~4 hours per week) to earn high school credit. 

 

 

On the right side of this page, record the student’s grades for the corresponding quarter/semester using a Pass/Fail grade. The 9-12 Grade Submission Form and Checklist requires parents to write in the course titles in the non-academic electives area shown below. This is where the parent can write in custom course titles like "Piano & Theory" or "Music Appreciation".

 

 

Sign and date the form:

 

 

On the back page, record the student and parent names, the student’s grade level, the school year, phone number, address, and email address. Be sure to check the corresponding quarter or semester:

 

 

Note: Final report cards are provided to the parent's email address as written on the Grade Submission Form.

 

Check the box indicating that the student is submitting the completed Grade Submission Form with recommended grades and that the parent has signed the Grade Submission Form. 

 

 

Check the box next to the non-Kolbe subjects that the student is reporting grades for (art, music, and/or physical education):

 

 

Once the Grade Submission Form and Checklist has been completed with grades, a signature, and a date, submit the form to the corresponding email address:
